Set-up Information
Exhibitors will have access to exhibit space beginning at 8:00 p.m., Sunday April 13, 2008 for exhibit set-up, or 6am on Monday April 14, 2008. Although exhibits are open all day each day, the Official Exhibit hours are as follows:
Monday April 14: 7:00am - 5:00pm
Tuesday April 15: 7:00am - 2:00pm
- Exhibitors must remove all materials, products, merchandise, and equipment from the exhibit space by 3:00pm, April 15, 2008.
- Exhibitors will be responsible for the delivery and security of materials, products, merchandise, and equipment prior to the conference opening and following the closing of the exhibit space.
- Exhibitors will be located in the main foyer of the 2nd floor conference area outside of the ballrooms as this is the main traffic area for the conference and where food and beverage breaks will take place.
- No signs and/or posters of any type are allowed in the hotel lobby.
- No signs and/or posters of any type are allowed on the walls of the second floor, meeting rooms and the main ballroom.
- The hotel does charge $75 to hang banners and this must be arranged in advance with the conference organizers.
- No type of adhesive tape, pins or tacks to be applied on walls, carpet or flooring of the 2nd floor foyer, meeting rooms or the main ballroom.
- A limited number of exhibitor spaces have outlets and data jacks. These must be requested ahead of time, and there is an additional fee charged directly to the exhibitor.
- Lunch will be served in the main ballroom on Monday and Tuesday. We encourage all Exhibitors to join us for lunch as it is included in your exhibit fee. For your convenience, the Pac Rim Conference will provide volunteers to monitor the Exhibit area while you join us for lunch. Please be aware that although we will provide monitors at lunch each day for the Exhibitor area, neither Pac Rim or the Sheraton Waikiki assumes liability for your equipment or materials.
Please Note: Exhibitor assumes all responsibility and agrees to indemnify and defend the Center on Disability Studies (CDS), University of Hawai‘i, and the Sheraton Waikiki Hotel, and their respective employees and agents against any claims or expenses arising out of the use of the exhibit premises. Exhibitor understands that neither CDS, University of Hawai‘i, nor the Sheraton Waikiki Hotel maintain insurance covering the exhibitor’s property and it is the sole responsibility of the exhibitor to obtain such insurance if warranted.
